Using Chinese documents in Australia

The English translation explains the information in your Chinese source document for the organisation handling your application or transaction.

  • Visa and citizenship applications: birth, marriage, household registration and police documents can provide identity, family or background information. Home Affairs explains how to supply non-English documents and their translations. Follow the document checklist for your application.
  • Driving and licence procedures: a translation explains the details on your Chinese licence. For NSW overseas licence transfer, Service NSW specifies its accepted translation providers; an ordinary commercial NAATI translation does not meet that procedure’s requirement. Driving and car hire are separate uses.
  • Education and skills assessment: translate the graduation, degree or transcript records requested by the university, training provider or assessment body. Their checklist identifies the records and submission format needed.
  • Accounting, legal, banking or insurance matters: translate the specific financial records, contracts or identity documents requested by the accountant, lawyer or organisation. Translation communicates the document’s contents; it does not provide tax or legal advice.

Price, timing and delivery

Use the listed fee for the document service you select. For other documents, we confirm a written quote using the document type, page count, language direction, legibility, handwritten content, layout and delivery requirements. Include all pages when requesting a quote so the scope is clear before work begins.

Delivery time is confirmed for your order. If you have a deadline, tell us the date and time before ordering so we can confirm availability. A delivery time advertised for one standard certificate does not apply automatically to a long contract or several documents.

We provide PDF translations and offer paper delivery within Australia where selected for the order. Confirm any paper-copy and postage charges with the service details or written quote. Keep the source document: the receiving organisation may need it alongside the translation, as an upload, original or certified copy.

  1. Prepare clear files. Use complete photographs or PDFs. Include stamps, reverse sides and additional pages, and tell us the intended use.
  2. Confirm the order. Check the document scope, price, language direction, deadline and delivery option before proceeding.
  3. Translation and checking. Our NAATI-certified translators translate in the required direction and check names, dates, numbers, stamps and relevant details.
  4. Receive and check your translation. Receive the PDF and any paper delivery ordered. Check personal details before submitting it with the other required documents.

NAATI certification and checking the translator

NAATI is Australia’s national certification body for translators and interpreters. A NAATI-certified translation is prepared by a translator holding the relevant certification. Chinese-to-English and English-to-Chinese are separate directions: check the direction needed for your document.

Check the translator’s name, practitioner details, language direction and credential status using NAATI’s official directory and verification tools. You can ask us about qualifications before ordering. Certification identifies the practitioner’s qualification; it does not decide your application outcome.

The Chinese expression “NAATI Level 3 translation” refers to terminology from the former accreditation system. Check the current credential, such as Certified Translator, and its status rather than relying on the older label alone.

Three examples from our translation work

These anonymised examples describe specific orders handled by ABC Translation Australia.

Bank interest receipts and a handwritten loan agreement

One Chinese-to-English order contained 3 bank interest receipts and 1 handwritten loan agreement for an Australian accounting firm. Parts of the handwriting were difficult to read. The work required checking the legible source content and keeping names, dates and related information consistent across the documents.

We received clear files on the morning of 29 July and delivered the PDF translations that afternoon. A translator certified by NAATI in the Chinese-to-English direction completed them with their certification details. The translation followed the readable source content; the service did not provide accounting, tax or contract-law advice.

An older red-cover birth certificate for citizenship

This urgent order involved an older Chinese birth certificate with a red cover and handwritten personal details, translated into English for an Australian citizenship application. A translator certified by NAATI in the Chinese-to-English direction completed the translation. The PDF was delivered within approximately 1 hour of receiving clear files.

In this particular case, the Australia Post office handling the documents requested that the translator email the electronically stamped translation directly. That was the instruction for this individual case, not a general rule for Australia Post or citizenship applications. Translation does not guarantee citizenship approval.

A five-document-type set for a partner visa

The customer supplied an identity card, household registration booklet, notarised no-criminal-record certificate, property ownership certificate and Chinese relationship statement for an Australian partner visa application. A translator certified by NAATI in the Chinese-to-English direction completed the translations.

The translations were delivered within 12 hours of receiving clear source files. Each document type was supplied as a separate PDF containing both the Chinese source document and its English translation, with English file names. This arrangement does not mean every partner visa applicant needs those five types of evidence. We did not provide immigration legal advice or guarantee a visa or acceptance outcome.

Five details to check before translation

  • Names and spelling: provide passport spellings and identify former names, different name orders or older romanisations.
  • Dates and numbers: make birth dates, issue dates, contract dates and document numbers clearly readable.
  • Relationships and terminology: household relationships, contract parties and financial terms must reflect the source.
  • Stamps and handwriting: include complete, sharp images. Replace photographs with glare, cropped pages or unreadable writing.
  • Purpose and destination: identify the issuing jurisdiction, receiving organisation, intended use and deadline.

Translation, certified copies and notarisation

Translation renders the source document in another language. A certified copy confirms that a copy matches an original sighted by the certifier. Certifying a copy or having a Justice of the Peace (JP) witness a signature does not translate the document.

A Notary Public performs notarial acts for particular legal or overseas-document purposes. DFAT Apostilles and Authentications verify relevant signatures or seals on eligible Australian public documents; they do not certify that the translated content is correct. If a court, university or overseas authority requests an additional certification step, provide that instruction when enquiring. These are separate requirements, not automatic additions to every Chinese document translation.

Frequently asked questions

Does every Chinese document submitted in Australia need a NAATI translation?

Not every Australian procedure requires a NAATI translation. The particular government, education, licensing or other procedure specifies whether a translation is required and who may prepare it. When a NAATI translation is requested, our service provides the English translation for your Chinese document.

Can I submit the translation to Home Affairs?

Supply the non-English document and its English translation, with the translator details required by Home Affairs. Follow its document-preparation guidance and your application checklist; submitting a translation alone does not complete the evidence requirements.

Will I also need notarisation?

NAATI translation and notarisation are separate services. Only arrange a certified copy, witnessing, notarial act or legalisation when the procedure calls for it. Send us the court, university or overseas authority’s instructions so the translation can be prepared for the stated task.

Can I use a PDF translation?

We provide PDF translations for electronic delivery. Use the upload format specified by your application, and retain the source document. If your procedure requests a paper translation, original or certified copy, organise that separately; paper delivery can be selected for eligible orders.

Do universities and skills assessors require NAATI translation?

Check the named institution’s requirements for your qualification. Universities and assessment bodies specify which academic records, source-language copies and translations to provide. We can translate the Chinese records listed for your application.

Will Medicare, a bank or an insurer accept the translation?

Ask the organisation handling your enrolment, account or claim which document and format it needs. We translate the requested Chinese document; identity checks, original-document requirements and acceptance decisions remain part of that organisation’s procedure.

Does a NAATI translation have a fixed expiry date?

A translation completed while the translator held a valid NAATI credential for that direction does not expire when the credential later expires. The stamp’s “valid to” date refers to the credential, not the translation’s expiry date. See NAATI’s explanation of practitioner stamps and translation validity. A changed source document needs an updated translation, and an application may require a recently issued police certificate or other current evidence.

How do I start a Chinese document translation order?

Choose a document service or contact us in English with the document type, page count, purpose and deadline. We confirm the scope, price and timing. Provide clear, complete files through the agreed submission method.

What if the name spelling differs from my passport?

Tell us before translation and provide the relevant English spelling. The translation must still accurately reflect the source document. A translation cannot alter the original record or by itself establish that differently named records belong to the same person.

Can I use a translation completed outside Australia?

For example, the Visitor visa (subclass 600), Tourist stream (apply outside Australia) instructions require translators in Australia to be NAATI-accredited. Translators outside Australia do not have to be accredited, but must include their full name, address, telephone number and qualifications and experience in the language they translate, in English. This distinction concerns the translator’s location, not where you place the order. Check the instructions for your own visa or other procedure.
