You can arrange a NAATI translation without holding a copy of the employment letter your hospital sent to Ahpra.
Ahpra verifies your chosen translator’s details, sends them the document and receives the translation directly.

How the document reaches your translator
For a document Ahpra has received directly and identified as needing translation, its published process is:
- Choose a NAATI-certified translator. You arrange and pay for the translation.
- Provide the translator’s details in writing. Ahpra asks for their full name, email address, suburb and postcode.
- Let Ahpra and the translator exchange the document. After checking the translator’s details, Ahpra emails them a copy. The translator sends the completed translation directly back to Ahpra.

A real case: a Chinese hospital employment letter
A nursing registration applicant contacted ABC Translation Australia in English. Their former hospital in China had already sent the original employment letter directly to Ahpra, so the applicant had no copy to attach to the enquiry.
We first provided an estimated range of AUD $85–185. The applicant accepted this preliminary range, and the translator’s details were submitted to Ahpra for verification.
The following morning, Ahpra sent the employment letter directly to us. After reviewing it, we confirmed the final translation fee of AUD $145. The customer paid, and one of our NAATI-certified translators completed the Chinese-to-English translation. We sent it directly back to Ahpra that afternoon.
The price and afternoon delivery are a record of this individual order. We confirm the fee and timing for each document.
Why we confirmed the price after receiving the letter
At the first enquiry, we had the customer’s description but could not inspect the actual letter. An estimated range allowed the customer to consider the cost while the document remained with Ahpra.
Once the letter arrived, we could confirm the work required and give a final quote before payment.
What to tell us when you have no file to upload
You can start with an enquiry explaining:
- the document type and source language;
- that Ahpra already holds it and you do not have a copy;
- what Ahpra has asked you to arrange; and
- your translation deadline, if one has been given.
This gives us enough context to discuss the next steps without asking you to upload a document you do not possess. We can provide the translator details needed for Ahpra’s verification.
Frequently asked questions
Does every hospital employment letter have to be sent directly to Ahpra?
This process applies when Ahpra has received the document directly and requests a translation. It does not establish a direct-sending requirement for every employment letter. Follow the document submission instructions for your own application.
Do I send the finished translation back myself?
For the direct-transfer process described above, the translator sends the completed translation straight to Ahpra.
Can my translation also be completed that afternoon?
Tell us your deadline when enquiring so we can check availability and confirm a delivery time before you proceed.
